The information below explains our policy regarding your privacy, both relative to our website (www.childaidee.org.uk) and offline. By visiting our website, using our social media pages (such as Facebook and Twitter) or by sharing personal information with us, you are accepting the practices described below.

What information do we collect?

The information we might collect is any information that can be used to identify you and may include your name, your gender, postal address, email address, IP address and information regarding what pages you access on our website  and when. We may also collect your telephone number, bank account details and credit/debit card details, your date of birth, whether you are a UK taxpayer so that we can claim Gift Aid on any donations you may make, and your religious affiliation and/or church details.

If you make a donation online, make an event booking or purchase a product from us, your card information is not held by us, but is collected by our third party payment processors who specialise in the secure online capture and processing of credit/debit card transactions. The only time we will hold your credit/debit card information is if you phone the office to make a donation or payment or send us your details through the post. In that case the information is locked securely until processed and then destroyed one year after the transaction has been processed.

Any bank details given to us (for example, to set up a direct debit) are stored securely by us and our third party processors.

How do we collect information from you?

We may collect information about you when you interact with us and knowingly provide us with personal information. For example, when you contact ChildAid regarding our activities, send or receive information, engage with our social media, make a donation or purchase from our online shop. We will also collect information from you if you subscribe to us through our website.

In addition, we may also collect information about the services you use and how you use them which is anonymous, i.e. does not include your name or personal details. For example, when you watch a video on YouTube, visit our website or engage with social media.

We may also receive information about you from third parties. For example, where you’ve given them permission to share your information or where we gather information from publicly available sources as discussed below.

Our website has security measures in place to protect against the loss, misuse and/or alteration of the data under our control. We utilise industry-standard HTTPS certificated secure server connections across the website and provide additional encryption during the product ordering and donation process.

 

How do we use that information?

We may use your information in the ways set out below:

  • Process a donation or an order that you have made.
  • Provide you with information about our work that you have requested or which may be of interest to you. This may include information about campaigns, appeals, events, other fundraising activities, promotions of any associated goods and services.
  • Fundraise in accordance with our internal policies and procedures.
  • Contact you where you have been identified as a contact person for an organisation, such as a school or church. (We will not use any data collected on your religious affiliation and/or church details for any reason other than determining the extent and breadth of support from the faith community and/or to contact you concerning possible speaker opportunities or the like)
  • Answer your enquiries or seek your views about a service we provide, through voluntary surveys or research.
  • Deal with entries in to a competition.
  • Analyse your personal information to create a profile of your interest and preferences so that we can contact you with information relevant to you. We may also make use of additional information about you when it is available from external sources to help us do this effectively.
  • For internal administrative purposes (such as our accounting and records and to claim Gift Aid on your donations)
  • Process a job application.

Whilst we will seek consent to process your data at the point we collect it, in some cases we may process data without consent where it is within our legitimate interests to do so, as defined by the General Data Protection Regulations (e.g. to process a donation you have made), provided we respect your legal rights.

What is our lawful basis for processing data?

We rely on a variety of lawful bases for processing data depending on the purpose of the activity being undertaken.

We ask for your personal data whenever you directly engage with us. This may be as a donor, an online/offline shopper, a subscriber for news, prayer and magazine, a volunteer, an attendee at an event, an employee, a contractor, or someone else with a stated interest in our work.

We use a contractual basis for processing data relating to online and offline shopping.

We rely on legitimate interests for a variety of purposes. Legitimate interest is about balancing the interests of ChildAid against your rights and freedoms and having due regard to your reasonable expectations about the use of your data. These purposes include:

  1. mailing you information related to your subscription to prayer, news and our newsletter, and about related resources and events that you might be interested in, given your previous purchases and attendance

  2. thanking you if you have made a financial gift

  3. sharing with you by mail or telephone the fundraising needs of the charity and to ask for your support; you can alter your communication preferences at any time.

We believe that our supporters share our genuine interest in seeing lives in eastern Europe transformed spiritually, physically, emotionally, intellectually.

We also believe that our supporters expect us to tell them about new opportunities to contribute to our unique and rewarding work.

We depend upon our supporter’s generosity to continue our work and believe that this type of communication is a legitimate interest of ours that also respects our supporters’ rights and freedoms.

We rely on consent for all email marketing communications such as newsletters and fundraising appeals; every email newsletter you receive provides a clear opportunity for you to opt out or alter your communication preferences.

We use compliance with a legal obligation as the basis for processing any legally required activities such as Gift Aid returns to HMRC.

 

 Who has access to your information?

We do not sell or rent your information to third parties, nor do we share it with them for marketing purposes.

We may pass your information to our third party service providers and other associated organisations for the purposes of completing tasks and providing services to you on our behalf (for example, to process a donation). However, when we use third party service providers, we disclose only the personal information that is necessary to deliver the service. 

ChildAid treats your contact with us as confidential unless there is a risk of serious harm or abuse to you or someone else. In this instance, we may have to pass this information onto a third party such as the emergency services. Also, we must release information we hold on you if we are required to do so by law, for example by a court order or for the purposes of prevention of fraud or other crime.

Your data may also be available to our website provider to enable us and them to deliver their service to us, carry out analysis and research on demographics, interests and behaviour of our users and supporters to help us gain a better understanding of them to enable us to improve our services. This may include connecting data we receive from you on the website to data available from other sources. Your personally identifiable data will only be used where it is necessary for the analysis required, and where your interests for privacy are not deemed to outweigh their legitimate interests in developing new services for us.

In the case of this activity the following will apply:

  1. Your data will be made available to our website provider
  2. The data that may be available to them include any of the data we collect as described in this policy.
  3. Our website provider will not transfer your data to any other third party, or transfer your data outside of the EEA.
  4. They will store your data for a maximum of 7 years.
  5. This processing does not affect your rights as detailed in this privacy policy.

How do we protect your personal information?

When you give us personal information, we take appropriate physical, electronic and managerial steps to ensure that it is kept secure, accurate and up to date.

Although we use appropriate security measures once we have received your personal information, the transmission of information over the internet is never completely secure. We do our best to protect personal information, but we cannot guarantee the security of information transmitted to our website or over email, so any transmission is at the user’s own risk.

However, any sensitive information (such as credit or debit card details) is encrypted and protected using SSL and other industry standard measures, to provide an additional level of security.

ChildAid has a strict confidentiality policy in place for all staff and volunteers concerning the use of personal information.

 How to update my information or change my marketing preferences?

If you change your mind about your preferences on how we contact you or if you want to update the information we hold for you, or think any information we have about you is incorrect or incomplete, please get in touch.

You also have a choice about whether or not you wish to receive information from us. If you do not want to receive direct marketing communications from us, then please contact us to have your name and contact information removed from our distribution lists.

You have the right to request copies of certain of your personal information within our custody and control, and details of how we use that information. If you think any of the personal information we hold about you is inaccurate, you may also request it is corrected. You also have a right, in certain circumstances, to require us to stop processing your personal information.

16 or under

We are especially concerned to protect the privacy of children aged 16 or under. If you are aged 16 or under, please get your parent/guardian’s permission before you provide us with personal information.
